1. Introduction

Insaber LLC ("Insaber," "we," "us," or "our") provides an AI-powered platform that helps insurance brokers create professional, shareable benefits proposal pages from insurance plan documents. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our website (insaber.com) and our platform services (collectively, the "Services").

By accessing or using our Services, you agree to the terms of this Privacy Policy. If you do not agree, please do not use our Services.

For questions or concerns, contact us at: jack.t@insaber.com

2. Information We Collect

2.1 Information You Provide to Us

When you create an account, use our platform, or communicate with us, we may collect:

  • Account information: your name, email address, company name, phone number, and login credentials.
  • Broker and client information: company names, client organization names, and contact details you provide when creating proposals.
  • Insurance plan documents: PDF files of insurance plan summaries, Summary of Benefits and Coverage (SBC) documents, and similar benefit plan materials that you upload to our platform for processing.
  • Payment information: billing details processed through our third-party payment processor. We do not store credit card numbers on our servers.
  • Communications: messages you send to us via email or through our platform, including support requests and feedback.

2.2 Information We Collect Automatically

When you access our Services, we may automatically collect:

  • Device and browser information: IP address, browser type, operating system, and device identifiers.
  • Usage data: pages visited, features used, timestamps, and referring URLs.
  • Cookies and similar technologies: we use essential cookies to maintain your session and preferences. We do not use advertising or tracking cookies.

2.3 Information We Process on Your Behalf

When you upload insurance plan documents to our platform, those documents may contain employee benefit plan details such as deductibles, copays, coinsurance rates, premium information, carrier names, and plan type descriptions. We process this information solely to provide our Services to you — specifically, to extract plan data and generate your proposal pages. We act as a data processor with respect to this information, and you (the broker) remain the data controller.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve our Services, including extracting data from uploaded plan documents and generating proposal pages.
  • Create and manage your account.
  • Communicate with you about your account, updates to our Services, and respond to your inquiries.
  • Process payments and manage billing.
  • Monitor and analyze usage patterns to improve platform performance and user experience.
  • Protect against fraud, unauthorized access, and other security concerns.
  • Comply with legal obligations.

4. How We Do NOT Use Your Information

We want to be clear about what we do not do with your data:

  • We do not sell your personal information or your clients' information to third parties.
  • We do not use uploaded insurance plan documents or extracted plan data to train AI models. Your documents are processed to fulfill your specific request and are not fed into any general training dataset.
  • We do not share your client data with other brokers or competing organizations.
  • We do not use your data for advertising or marketing by third parties.

5. How We Share Information

We may share information only in the following limited circumstances:

  • Service providers: We use third-party services to help operate our platform, including cloud hosting, payment processing, and AI processing (for document extraction). These providers access data only as needed to perform their functions and are contractually obligated to protect it.
  • Published proposal pages: When you publish a proposal page, the extracted plan information (plan names, coverage details, costs) is displayed on a publicly accessible URL that you share with your clients. You control when a proposal is published and can unpublish it at any time.
  • Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers: If Insaber is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

6. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your information, including:

  • Encryption of data in transit using TLS/SSL.
  • Secure cloud infrastructure hosted by reputable providers with their own compliance certifications.
  • Access controls that limit who within our organization can access your data.
  • Regular review of our security practices as our platform grows.

No method of transmission or storage is completely secure. While we strive to protect your information, we cannot guarantee absolute security. If you believe your account or data has been compromised, please contact us immediately at jack.t@insaber.com.

7. Data Retention

We retain your account information for as long as your account is active or as needed to provide our Services. Uploaded plan documents are retained only as long as necessary to process your proposal and maintain your published pages. If you delete a proposal or close your account, we will delete the associated uploaded documents and extracted data within 30 days, except where retention is required by law.

You may request deletion of your data at any time by contacting us at jack.t@insaber.com.

8. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information, including:

  • Access: You can request a copy of the personal information we hold about you.
  • Correction: You can request that we correct inaccurate information.
  • Deletion: You can request that we delete your personal information, subject to certain legal exceptions.
  • Data portability: You can request your data in a commonly used, machine-readable format.

To exercise any of these rights, contact us at jack.t@insaber.com. We will respond to your request within 30 days.

8.1 California Residents

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and how it is used, the right to request deletion, and the right to opt out of the sale of personal information. As stated above, we do not sell personal information.

9. Third-Party Services

Our Services may contain links to third-party websites or integrate with third-party services (such as cloud hosting and AI processing providers). This Privacy Policy applies only to our Services. We are not responsible for the privacy practices of third parties, and we encourage you to review their privacy policies.

10. Children's Privacy

Our Services are not directed to individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected information from a child under 13, we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the updated policy on our website with a revised "Last Updated" date. Your continued use of our Services after any changes constitutes acceptance of the updated policy.
